We are looking for someone proactive, with strong communication and analytical skills, to fill this role. The personal assistant will offer comprehensive support in all areas of business, including communications, administration, management and client satisfaction.

Our leadership need an experienced and dedicated personal assistant to drive workflows and ensure high levels of performance. We are looking for someone proactive, with strong communication and analytical skills, to fill this role. The personal assistant will offer comprehensive support in all areas of business, including communications, administration, management and client satisfaction.

 

Objetives of this role

  • Offer comprehensive assistance to executives and senior staff.
  • Maintain clear communication channels throughout the office.
  • Provide administrative support as needed in coordination with other departments.
  • Assist with management and deliverable execution, keeping team on track to meet key goals.
  • Ensure client satisfaction with timely communications and product delivery.
  • Coordinate activities of a small team to ensure organized and efficient workflow.

 

Responsabilities

  • Manage executive calendars to accurately assess availability.
  • Process executive communications and correspondence for key updates and inquires.
  • Handle request and queries appropriately.
  • Assist with special projects as required in a support capacity.
  • Coordinate travel and accommodation arrangements.
  • Communicate in office with all levels of staff to ensure coordination.
  • Draft daily memos on business topics to executives, staff and clients.
  • Produce reports, presentation and briefs.
  • Devise and maintain office filling system.
  • Support accounts department on its daily duties.

 

Skills

  • Excellent verbal and written communications skills in Spanish & English are essential.
  • Any other languages skills and knowledge will be quite valuable.
  • Experience working alongside others and offering support to achieve shared goals.
  • Experience in an office environment or other professional setting.
  • Ability to handle multiple tasks while properly prioritizing urgent and high-impact work.
  • Strong customer service and social skills.
  • Ability to think proactively and show initiative.
  • Exceptional organizational and time-management skills.
  • Ability to exercise discretion with sensitive information, including clients and employee data.
  • Follow instructions clearly and accurately within a timely fashion.
  • Proactive and enthusiastic about delivering positive results.

 

Qualifications

  • Expert proofreading and editing skills.
  • Familiarity with common office software.
  • Self-starter personality and intellectual curiosity.
  • Excellent problem-solving skills.
  • Comfort working with top-level managerial staff.
  • Proven project management expertise.
